Service
Stop copying information from one system to the next.
When the steps are right but a person is still moving data between tools by hand, automation is the fix. We connect the tools you already use so leads, jobs, and records move on their own, with a person approving anything that matters.
Process improvement first
Automating a bad process only makes the mistakes happen faster
Before we build anything, we map the workflow and ask whether each step needs to exist. Every workflow gets checked against five possible fixes. Automation is only one of them.
| Fix | When it's the right call |
|---|---|
| Automate | The task is repetitive, rule-based, frequent, and spans tools that should talk to each other. |
| Off-the-shelf tool | An affordable app already does this end to end. Buy it rather than build it. |
| AI-assisted | A person needs to draft, summarize, or decide, but starts from scratch every time. This is where the AI Concierge fits. |
| Redesign | The process has more steps than the outcome needs, or it's duplicated across tools. |
| Eliminate | The task exists because of a requirement that no longer applies. |
What we automate
Common automations for small businesses
Lead capture and routing
Web forms, calls, and emails land in your CRM, get assigned to the right person, and trigger a fast first reply.
CRM setup and cleanup
Consistent fields, deduplicated contacts, and pipelines in HubSpot or your current CRM that reflect how you actually sell.
Email, calendar, and tasks
Booking confirmations, reminders, and follow-up tasks created automatically when a job or deal changes stage.
Client onboarding and intake
One intake form feeds your CRM, creates the client folder, and sends a welcome packet for approval.
Document intake and routing
Incoming documents get read, classified, and filed, with the key fields extracted for review.
Reporting dashboards
Weekly numbers pulled into Google Sheets or a dashboard automatically, instead of assembled by hand on Friday afternoon.
Our build standard
Every automation ships with the documentation to run it
Fragile automations break quietly and nobody notices until a customer does. Ours are built to be understood, monitored, and handed off.
- A written business goal and the trigger that starts it
- Field mapping between every system involved
- Approval steps before anything customer-facing, financial, or legal
- Error alerts, logging, and retries so failures are visible
- A test plan run on sample scenarios before launch
- A rollback plan if something needs to be switched off
- A plain-English runbook for your staff
- Consistent naming for workflows, folders, and CRM fields
The process
How an automation project runs
Discovery
We map the current workflow, the systems involved, and where information gets re-typed or lost.
Design
You approve a one-page spec: trigger, steps, fields, approval points, and what happens when something fails.
Build
We build in a test environment using sample data, never on live customer records.
Test
We run through normal cases, edge cases, and failure cases with your team before anything goes live.
Launch
We turn it on with your sign-off and watch the first runs closely.
Optimize
We review results, fix the rough edges, and support it on an optional monthly plan.
Implementation is quoted as a one-time project fee. Ongoing monitoring and changes are a separate, optional monthly plan.
